What does the meetings module do?
It records notetaker-bot sessions and pasted transcripts against CRM records (deal, lead, contact, organization, vendor), turns transcripts into AI drafts of follow-ups — action items, next steps, summary — and lets you apply those to tasks and records after human review.
How do I send a bot into a meeting?
Start Bot on a record with a Google Meet, Zoom, or Teams URL. The bot provider joins, records, and transcribes; use Pull Transcript afterwards to store the finished text.
Can I use meetings without a bot?
Yes — paste any transcript (min 20 characters) via Ingest Transcript. It creates the same review draft as bot meetings; source can also be WhatsApp or voice conversations.
What happens when I "apply" a meeting review?
Accepted action items become assigned tasks (each assignee must be an enabled internal user and you need tasks create permission); an optional next step writes onto lead or deal records. Applying marks the review applied — it can't be re-run.
Why is everything "review-first"?
AI output is always saved as pending_review drafts and nothing touches CRM data until a person applies or dismisses it. This is deliberate — there is no auto-apply path anymore.
Who configures the bot provider?
Only a System Manager, in Settings → Meeting Bot: choose Vexa (self-hosted) or Recall.ai, set base URL and API key (sealed at rest), name the bot, and toggle auto-extract after provider-final events.
