Vendors FAQ
What is a vendor record?
Vendors are external partners and creators you work with. A vendor carries contact details, availability (Available, Busy, Unavailable, On Leave), a health rating (OK/Warning/Critical), strike count, suspension state, and optional influencer research fields like primary platform and total reach.
What does the header "at risk" number mean?
It counts vendors whose health is Warning or Critical, or that are currently suspended. The average on-time figure is only computed across vendors that have actually completed tasks.
What are strikes?
Strikes are internal performance marks kept in a separate log per vendor; adding one increments the vendor's visible strike tally. They feed the portal performance panel and staff views, but are never exposed to the vendor themselves.
How do I give a vendor portal access?
Use the portal setup action on the vendor (requires manage/delete rights on vendors). It sends a Clerk email invite, assigns the Vendor Portal User role, and links the profile so the vendor sees their own tasks and profile.
What can vendors edit about themselves in the portal?
Only a self-service allowlist: phone, mobile number, website, and their availability toggle. Name, email, company, ratings, notes, and suspension are staff-owned. The portal also hides internals like notes, rating, research summary, and pricing guidance.
How is vendor performance calculated in the portal?
Live from assigned tasks: completed means Done tasks, on-time compares completion date to due date, and active counts everything not Done/Cancelled as current workload.
